Administrative Associate

Spiegel Accountancy Corp. is looking for a highly organized and detail-oriented Administrative Associate with a technical support emphasis to provide administrative support with a concentration in troubleshooting technical issues. This is a great opportunity to help our employees perform their jobs efficiently by coordinating end user requests related to hardware, software, networks, databases, web resources, and general administrative tasks.

 

We are a professional accounting firm based in Pleasant Hill, CA with a national practice specializing in the mortgage banking and private lending sectors. Because of our continued growth, we are looking for someone who can thrive in a fast-paced, deadline-driven work environment.

 

Duties and Responsibilities:

 

  • Troubleshoot and resolve IT-related issues reported by staff
  • Document and/or update procedures, reference, and training materials for:
  • Resolving common, onetime, and recurring IT issues
  • Hardware, software, and web resources used by our firm
  • Firm administrative processes, including templates
  • Order and track inventory of computer equipment and technology devices
  • Configure computer and other technology devices for new and existing employees
  • Assist with assembly and delivery of tax and audit packages to clients, as needed
  • Perform various administrative projects and tasks, such as scanning, photocopying and monthly reporting
  • Work independently, prioritize, and timely manage multiple tasks

Requirements:

  • Troubleshoot and resolve IT-related issues reported by staff
  • Document procedures for resolving common, onetime, and recurring IT issues
  • Order and track inventory of computer equipment and technology devices
  • Configure computer and other technology devices for new and existing employees
  • Work independently, prioritize, and timely manage multiple tasks
  • Assist with tax and audit processing when needed
  • Monthly reporting and scanning
  • Create reference and training material for hardware, software and web resources used by our firm
  • Update Trainual and other platforms with firm administrative processes and templates
  • Miscellaneous administrative projects

This is a full-time, on-premises position with the potential to transition to a hybrid schedule in the future. Overtime hours are possible during busy season (January 2 through April 15).
